This small, friendly GP surgery in central Oxford is looking for an Apprentice to join our practice team as a member of the Reception team. This opportunity is for anyone who would like to start their career in the Primary Health Care sector. You will gain valuable work experience and a customer service qualification.

This is a very diverse role, covering the following (only after training in each duty):

Reception/Administration duties:

  • Welcoming and directing patients and other visitors on arrival
  • Handling general enquiries face to face or over the telephone from patients and explaining surgery procedures efficiently and courteously. Ensuring all appointments that are made or rescheduled are entered accurately onto the database
  • Ensure all new patients are Registered in accordance with practice procedures
  • Recording information on medical records accurately on the database
  • Arranging requests for home visits and for team members to call back
  • Recording any petty cash taken during surgery, ensuring patients are given receipt
  • Ventilating and tidying waiting room after and before the surgery
  • Opening the letters and putting them in the appropriate places 
  • Scanning incoming mail
  • Filing and extracting medical records and any documents relating to these as required
  • If first to arrive, opening the premises and making all the necessary preparations to receive patients
  • Ensuring that telephone system is operational at the beginning of the day and switched over to night service at the end of the day
  • Assisting in the processing of incoming requests by patients for their medication
  • Recording the minutes of meetings, writing them up and sending them on to other members of the team
  • Updating the practice website and intranet site
  • Maintaining the practice waiting room slideshow using Powerpoint
  • Receiving and making telephone calls as required, with patients, colleagues and outside agencies
  • Liaising with other members of the practice team and supporting their requests
  • Taking part in practice meetings and ongoing professional development as necessary

Training to be provided:

At level 2 City & Guilds Diploma In Customer Service Practitioner

Level 1 / 2 Functional Skills in Math & English
